We are looking for an experienced Executive Assistant to join our New York team.  In this Executive Assistant role you will to support several of our senior executives by providing high-quality administrative support.  The core responsibilities include managing travel, scheduling meetings and organizing daily calendars as well as working on projects, presentations and reports. To be successful in this role, you should be proactive, enjoy making an impact, meet deadlines and communicate effectively. You should have previous experience as an Executive Assistant, be technically savvy and collaborate well in a global company. 

Responsibilities

  • Coordinate daily calendars of senior executives
  • Plan appointments, meetings and events
  • Act as the point of contact for executive
  • Create regular reports and update internal systems as needed
  • Make travel arrangements
  • Track and submit expense reports in an effective manner
  • Manage phone calls and emails
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Suggest more efficient ways to run the office and processes

 

Qualifications

  • Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant or similar Senior Administrative role
  • Knowledge of office procedures and processes
  • Must be a collaborative team player
  • Must produce results and actively communicate status of projects
  • Solid experience with office management systems, technology and MS Office suite
  • Must have extensive experience with online calendars and cloud systems
  • Experience using office equipment, including printers and setting up video meetings
  • Must have excellent written and verbal communication skills (via phone, email and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think pro-actively and prioritize work
  • High school degree required
  • Must be able to work overtime as needed
